About this opportunity

An exciting opportunity to provide professional and efficient administrative support for the planning and delivery of The Manufacturing Institutes commercial service, education, short course training programmes and in-house workshops.

A normal day could include:

Delegate Management
• CRM GDPR complaint data capture, contact information, and management for certification and communication
• External communication with central points of contact and delegates
• Manage delegate attendance
• Creating and managing course pages on the Virtual Learning Environment (VLE)
• Creating delegate learning credentials on the VLE
• Providing on-boarding information for delegates including joining instructions and access to the VLE
• Organising hospitality and liaising with external caterers
• Collating dietary needs for delegates
• Capturing delegate feedback NPS; reporting on outcomes and actions required
• Timely creation and distribution of certificates
• Working with external accreditation partners to manage digital credentials (City & Guilds/ETA)

Fellowship
• Providing information about the fellowship Guidelines/Application/Marking
• Monitoring and responding to fellowship email inbox
• Creating applications onto the tracking process
• Coordinating presentations and submissions
• Allocating marking windows and associated communication
• Collating feedback
• Notification of award or further action required
• Completing information on tracker document including financial savings and other achievements
• Where possible, working with marketing to promote success stories on social media/case studies

Materials & Preparation
• Managing delivery slide decks including updates, branding, and version control
• Ensuring delivery material is uploaded for each upcoming programme on the VLE
• Preparing delegate packs and printing handouts if required
• Organising delivery materials, stationery, and assets for activities including multimedia
• Ensuring all supporting assets are on location and ready for delivery (including despatching to multiple locations including internationally)
• Monitoring programme delivery and improving efficiency including third party auditing requirements

Other
• Developing strong relationships with team members, vendors, and customers
• Preparing reports and updating Programme Directors and other stakeholders about the delivery and feedback
• Resolving any issues with delivery, associate practitioners, and delegates.
• Organise replacement certification
• Ensure that all website information pertaining to programme delivery dates is correct and manage the website email inbox
• Provide support to the wider Manufacturing Institute Team working flexibly to meet business imperatives. Including weekly/monthly sales and finance reporting for the business

• Excellent planning and organisational skills, rigorous attention to detail, and the ability to manage competing priorities
• Customer service and general office experience
• Use of Microsoft Office, including PowerPoint, and CRM (preferably Zoho)
• Use of on-line video applications Teams and Zoom
