An exciting and detailed role is available at John Hogg in Trafford Park. You will provide administrative support for customer service and logistics, ensuring all records are accurate and efficient processes are followed.
A normal day would include:
UK Core Customer Service (50% of role)
• Process UK, and Ireland Sales Orders efficiently on EPICOR and ensure that an order confirmation is sent to the customer for every order upon agreement of the dispatch date with the Production Department
• Ensure that all departmental processes are followed in completing an order from start to finish
• Acknowledge customer enquiries and orders within a reasonable timescale (24 hours max), sending a holding message if the enquiry cannot be dealt with immediately, advising when a full response will be available
• Ensure accurate transport documentation is issued for each order in line with Department of Transport, ADR, IMDG and IATA requirements
• Monitoring of cost efficiencies, to request haulage rates and collate comparative haulage costs
• Monitoring of bulk co-loading efficiencies, collate information on co-loading of products, locations and rates, keeping the data current as new transport bookings are made
• Ensure that EPICOR, GTA, Customer Database and Customer Information Forms and any other relevant customer data records are kept up-to-date and accurate at all times for UK customers
• Provide support and cover for other Customer Service Coordinators as/when required
CSL Support Maintaining Customer Records (20% of role approx)
• Ensure accurate electronic filing of order documentation and archiving so that files are kept for 6 years after invoice date and are accessible during this period by internal or external sources, such as auditors or HMRC auditors as required.
• Raising and Receipting Purchase orders for freight
• Checking and approving invoices
• Providing documents to customers
• Label printing for outbound goods
• Scanning and filing as requested by Senior CSL team members
Business Administration Support (20% of role approx)
• Cover for reception duties (greeting and signing in visitors)
• Answering and directing phone calls, taking and disseminating messages
• Postal and courier administration
• Support for external meetings (ordering lunch, getting meeting room ready)
• Travel support and admin support for board and BSG management team
• Noticeboard maintenance
• Deputise for the Finance Apprentice with office stock maintenance (stationery, photocopier, canteen supplies) and ordering
• Administrative support for Purchasing (raising and receipting purchase orders, supplier contact
